Tax rates can be difficult to manage because some states have different tax rates for each zip code. Cart66 makes this much easier by allowing you to upload a file with all of the tax rates you need. In this tutorial, we will look at how to upload and import your tax rates into Cart66. We’ll also take a detailed look at how to organize the file you upload to make sure everything goes smoothly.
Tax Rate File
Let’s start by taking a look at the file format used for uploading your tax rates into Cart66. The file should be a comma separated value list of tax rates where each line in the file has exactly five items:
- Region name
- Tax rate
The tax rate needs to be in decimal format. For example, 0.05 would be a 5% tax rate.
Example File Structure
This is an example of what the contents of the file you upload to Cart66 will look like.
Country,State,Zip Code,Region Name,Tax Rate
US,FL,32004,ST. JOHNS COUNTY,0.06
Note, In this example, the first line of the file contains header names. When you are uploading your file to Cart66, you will be able to specify whether or not the first line of your file contains headers.
Importing Tax Rates
Once you have your file configured properly, you are ready to import your tax rates into Cart66. Sign in to your secure Cart66 dashboard at https://manage.cart66.com and navigate to Manage > Tax Rates. It will look like this.
Click the Choose File button and select your
tax-rates.csv file that contains all the tax rates you would like to import into your Cart66 account.
If the first line of your
tax-rates.csv file contains header names, select the Header Row checkbox.
Finally, click the Upload & Import button to import the tax rates into your Cart66 account.
How The Import Works
When you upload a new file with tax rates, Cart66 will check each row of the file to see if you have already defined a tax rate for the region in the file. If Cart66 finds that you already have a tax rate defined for a particular zip code, the tax rate will be updated for that zip code. If the zip code is not yet in your Cart66 tax rate settings, Cart66 will create a new record.
Many states issue quarterly updates to their tax rate tables. So, you can take the new tax rate file and upload it directly into your Cart66 account. Cart66 will then update all the tax rates accordingly. In other words, you do NOT have to delete all your tax rates and start over.
As Cart66 is processing your uploaded tax rates, you can see the status on the Imports tab of your tax rate settings. When the tax rates have finished importing, you will get an email notification letting you know that everything is finished.
You can see the history of your previous imports in your Cart66 account.
Reset All Tax Rates and Regions
Uploading a large file of tax rates can create a large number of tax regions in your Cart66 account. If for some reason, you need to start over, you can click the red Reset button and that will delete all of the tax rates and regions giving you a fresh start.
